I don’t see any workflow buttons (Approve, Route, etc.) on my invoice. What’s wrong?

Workflow buttons are only shown when a document is in a valid state for its document type and assigned to the correct user.
If no buttons are visible, it is usually because the document is in an invalid or unsupported status.
To help ensure invoices move smoothly through the system, we recommend following the standard workflow buttons when processing documents.
Manually changing statuses can sometimes place a document into a state where no further actions are available, which may require additional support to resolve.
🔍 Common Causes
1. Document is in the wrong status for its type
- Example:
- A Non-PO invoice is placed in Matching Exception
- Why this is a problem:
- Matching Exception is only used for PO invoices that fail matching
- Result:
- The system doesn’t recognize a valid next step → no buttons appear
2. Document is not routed to the current user
- Workflow buttons only appear if:
- The document is assigned to you
- If not:
- No actions will be available
3. Document is not in a valid AP or Approval status
- For Non-PO invoices, workflow actions depend on status:
- Approver actions require:
- Status = Pending Approval
- AP actions (like Route) require:
- Status = New, Rejected, or Return to AP
- Approver actions require:
🛠️ How to Fix It
- If the document is in the wrong status:
- Move it back to a valid status such as:
- Return to AP
- New
- Move it back to a valid status such as:
- Then:
- AP should click Route to send it back to the approver
🔄 Return to AP Workflow
- When an approver clicks Return to AP:
- The document goes back to AP for updates
- To send it back to approval:
- AP must use the Route button
- This selects an approver and restarts workflow
