Dear Valued Client,
The DataServ platform will be unavailable on Sunday, October 20th, 2024, from 8:00 a.m. to 1:00 p.m. CST. During this time, we will deploy the 2024.10 and 2024.09 releases, which include product updates, security improvements, and perform system maintenance.
Over the past few weeks, we have attempted to promote the 2024.09 release into the application. The 2024.09 release includes some architectural changes to the application. Those changes were thoroughly tested including load testing. We made multiple attempts to promote the changes to production and they failed. After each failure, we found and fixed a problem but could never reproduce the same behavior in our testing. On October 10th we found the real root cause of the issue, which was an incorrect configuration setting in our production infrastructure. With the new information about the root cause, we were able to reproduce the issue in our test environment, correct the issue, and prove that the root cause was resolved.
After resolving the root cause, our team has retested both releases successfully and we feel confident about releasing both 2024.09 and 2024.10 on Sunday, October 20th. During this release window, we have extended our testing efforts by an extra hour to provide for additional validations.

RELEASE 2024.10
Product Updates:
-
Clients can provide their own foreign currency Exchange Rates in the application. Clients with the Global Approval module have a new tailoring choice. They can provide their exchange rates instead of using the DataServ-provided daily market exchange rates. Please contact your CSAM if you are interested in this feature.
- See our help documentation for more information regarding Exchange Rates: Exchange Rate Matrix and Exchange Rate Functionality.

We have made several enhancements to the Vendor Portal to benefit both AP Teams and their Vendors:
- Vendor Notes:
- To save time in communicating the status of an invoice, Vendors will be able to see notes about their invoices in the Vendor Portal via a text field titled “Vendor Notes”.
- This release makes it easier for users with specific Security Group permissions to add notes for the Vendor to see in the Vendor Portal when certain actions are taken on an invoice. If the user clicks on the “Return to AP” or “Reject” buttons, the “Vendor Notes” text field is displayed within the confirmation modal so that the user can provide additional context relevant for the Vendor to see.
- To decrease the onboarding overhead of Vendor Portal users, Dashboard tiles will be automatically created for each published search, including tiles showing how many invoices are in process, disputed, approved for payment, and paid.
- See our help documentation for more information regarding the Vendor Portal.

Users will see improved Approval Routing functionality that will intelligently skip invalid users when processing documents:
- Instead of assigning documents to users that aren’t active in DataServ, the application will now skip / ignore invalid users in subsequent approver routing. Skipped / ignored users will be noted via:
- Document View - Discussion pane for the document (i.e., “Approval routing skipped John Doe (jdoe@acme.com) because they are not a valid approver.”).
- Document View - Workflow Path with a time value of 0 and the skip icon.
- If the final approver is invalid, the document’s status will be updated to “Returned to AP” with a return reason of “Wrong Approver” and a note in the Discussion pane (i.e., “Returned to AP: Final approver Bugs Bunny (bbunny@acme.com) is not a valid approver.”).
- See our help documentation for more information regarding Delete User.
- Instead of assigning documents to users that aren’t active in DataServ, the application will now skip / ignore invalid users in subsequent approver routing. Skipped / ignored users will be noted via:
-
Users will now be required to add notes when returning a document to AP and rejecting a document. To provide AP as much context and rationale as possible, when a user selects the workflow option ‘Return to AP’ or ‘Reject’ on a document, the user must fill in text within an internal note text field to proceed.
- See our help documentation for more information on the Returning to AP Workflow Button and Reject Workflow Button.
-
We’ve added additional language support within the application.
- Users can now see translated field values for Standard picklists such as Status, Document Type, Document Type Classification, Reject Reasons, Return to AP Reasons, QA Status, Delivery Method, and Yes/No fields. This is viewable throughout the application including:
- on the Search Screen in both filter criteria and search results
- on the Document Viewer
- while hovering over the Workflow Pane
- within the Mass Update screen
- within the Audit Log
- for the Reject & Returned to AP reasons on both web and mobile
- for Payment Request Creation
- See our help documentation for more information on our Supported Languages.
- Users can now see translated field values for Standard picklists such as Status, Document Type, Document Type Classification, Reject Reasons, Return to AP Reasons, QA Status, Delivery Method, and Yes/No fields. This is viewable throughout the application including:
- Users will see updated tooltip styling within the Search screen grid. We have updated the styling in the Search grid to match the tooltip style applied to buttons within the rest of the application so that users have a consistent experience.
Bug Fixes:
- We fixed an intermittent issue with clicking the “Back” button on the menu screen, which affected some mobile users. Clicking the button now should consistently navigate the user to their previous screen.
- We resolved an error message that would display and prevent approval if the “difference” option was selected within the Coding Form for Credit Memos that were short-paid.
