The Initial Routing Matrix enables you to automate the initial routing of Non-PO invoices. As Non-PO invoices arrive, they will be automatically routed to an Approver based on the Vendor and Location associated with the invoice.
How to Access
To access the Initial Routing Matrix, select the Configuration Option from the Dashboard:
Then select "Matrix - Initial Routing" from the left vertical menu:
This matrix can be configured to route by:
- Vendor and Location - Routing takes place based on the Vendor and Location. For example, the Vendor and Location from the invoice are used to find the matching row in the Initial Routing Matrix. The invoice is then routed for approval to the Approver listed for that Vendor and Location. If the value "All" is listed for the location, then that Approver would be used if there was not another specific Location found for that Vendor.
- Vendor - Routing is based solely on the Vendor.
- Location - Routing is based solely on the Location.
If an initial routing rule is not defined then the invoice is routed to the "New Invoices" queue to be manually routed by the AP Team.
How to Edit
To modify the Initial Routing Matrix:
- Click "Add Row" to add a new row to the matrix.
- Click "Edit" to edit the row that was just added
- Fill in the fields
- Click "OK"
- Click "Submit" to save the changes
- To delete a row from the matrix
- Click the checkbox next to the row(s) that should be deleted
- Click "Delete Row"
- Click "Submit" to save the changes
- To edit a row in the matrix
- Click "Edit" on the row that needs to be edited
- Modify the fields that need to be changed
- Click "OK"
- Click "Submit" to save the changes
