The Price and Quantity Matrix enables you to maintain a matrix for vendors and Unit of Measures (UOMs) that require price and quantity multipliers or divisors so that AutoVouch can more accurately match invoices to PO/Receipts.
This matrix can help reduce AutoVouch exceptions and touches.
How to Access
The Price and Quantity Matrix is available ion the Dashboard under the Configuration tab.
Within the Configuration Option, you can then select the Price and Quantity Matrix.
Updating the Matrix
Here you can add rows for vendors/part numbers along with price or quantity multipliers or divisors to account for the UOM difference in vendor invoice versus receipts.
This will be applied at import and will update the lines based on the info provided here.
If you select Item Number 'ALL'; it will apply to all lines on the invoice.
If you select Item Number and enter a specific item number it will only apply to invoice lines that have that item number.
You have several options:
Unit Price Divisor
Unit Price Multiplier
Quantity Divisor
Quantity Multiplier
Example:
Here is my Fastenal invoice:
Invoice Quantity = 8
Price = 317.00
Total $25.36
Here is my Receipt Data:
Invoice Quantity = 8
Price = 3.17
Total $25.36
The Fastenal invoice price is per hundred
The receipt data is based on each.
This will cause a matching exception and an AutoVouch failure reason of Price Discrepancy.
We have added a row for Fastemal with Item number IM15121.
We entered in a Unit Price Divisor of 100.
Now when this invoice imports in the invoice data will be updated to
Invoice Quantity = 8
Price 3.17
Total $25.38
Matching the receipt data and allowing it to AutoVouch without a price discrepancy.
How to Edit
From the Price and Quantity Matrix, you can add, edit or delete rows in the matrix.
- To add a row to the matrix
- Click "Add Row"
- Click "Edit" to edit the row that was just added
- Fill in the fields
- Click "OK"
- Click "Submit" to save the changes
- To delete a row from the matrix
- Click the checkbox next to the row(s) that should be deleted
- Click "Delete Row"
- Click "Submit" to save the changes
- To edit a row in the matrix

- Click "Edit" on the row that needs to be edited
- Modify the fields that need to be changed
- Click "OK"
- Click "Submit" to save the changes
