We are pleased to announce several upgrades that will be added to the DataServ solution this weekend. During the system maintenance window on Sunday, November 13th 2022, we will be migrating Digital Mailroom and Invoice Processing Machine to AWS. Additionally, we will update the platform with the 2022.11 release which includes both product updates and bug fixes.
What to Expect:
- DataServ Application will be down from 8:00 am - 12:00 pm CST for scheduled maintenance
- DataServ IPM – Digital Mailroomwill be unavailable Sunday November 13th, 8:00 am CST to 4:00 pm CST
- We are not anticipating any turn-around time delays within Non-HotBatch processing
- Processing will be available at 4:00 pm CST on Sunday November 13th
RELEASE 2022.11:
Product Updates:
New Button “Return to AP”- This button will return an invoice to the Accounts Payable (AP) team with a note used to describe the reason it is being returned. Return to AP can be used to ask a question, note that the invoice requires a different approver, etc. This new button is distinct from the Reject button which notes that an invoice should not be paid and is returned to the AP department.
Note:
Effective 11/17/2022 this functionality has been removed from the application. After review it was determined that the process was not functioning appropriately and needed further development. We will move forward to improve the functionality and will roll out the improved version with a future release. We apologize for any inconvenience this may have caused.
- AutoVouch Exception Form Improvements - As part of a focused effort to improve the AutoVouch exception handling process and make the form easier to use and more understandable, hover text has been added to the form action buttons and a warning has been added after the Retry AutoVouch button has been selected warning users that they will lose any manual matching that has been performed. The Retry AutoVouch button should be used when invoice or PO data have been updated and another automated match is being requested. It should not be used when lines have been manually matched. This feature will be implemented in the upcoming weeks. Please reach out to your Client Success Account Manager (CSAM) if you have questions.
- Approval Matrix Improvements When adding a new approver to the matrix, the list will filter as you are typing and will show only the approvers that are not already in the matrix.
- Vendor Identification Efficiencies - Vendor name/number selections from your Vendor Master file can now be made with automation based on the sender’s email address, for invoices received via email. This automation will improve reliability, reduce errors and improve the efficiency of this task, thus decreasing error rates and keeping DataServ’s costs low so we can continue to keep price increases low. If you are currently Forwarding your emails to DataServ, please reach out to your CSAM to discuss changing to a Redirect so that you can take advantage of this new feature.
- Import Enhancement - We have made updates to the process around importing documents from the Invoice Processing Machine into the application to add increased reliability, notifications and to continue to upgrade supporting technologies. This new Import process is being rolled out to both core invoice processing and hot batch processing.
- Continue to proactively make system, speed, and security improvements.
Bug Fixes:
- Added a method to detect and block animated GIFs that come in inbound emails.
- Repaired the page counter in the document view pane.
- Removed spaces erroneously entered by the user into the email address when attempting to login to decrease login failures.
- Corrected the display for Spanish and German in User Management.
- Ensured that the Distribution Amount is entirely viewable in all sizes of the document view screen when adjusting the bottom pane.
- Updated the formatting of invoices received in HTML format during inbound processing.
AWS PRODUCTION MIGRATION:
DataServ has been moving our production environment from a co-location datacenter to AWS cloud services as our new platform. This past September we successfully completed Milestone 4, which included the migration of the end user application as well as AutoVouch™.
The next phase of our migration, Milestone 5, is focused on the Invoice Processing Machine (IPM) and the Digital Mailroom. This phase promises faster capture system performance, even greater uptime, and higher security. Our teams are completing the final testing phase and are on schedule for the weekend of November 13th to perform the actual cutover.
No documents will be missed during the promotion window - all documents submitted to DataServ will be received and held until processing can resume.
